What type of information we use

We ask for some personal details if you wish to access our service, for example:

  • contact details (including full name, email address, company name, company address, telephone number, job title).

  • to subscribe to a service (for example, if you sign up to the newsletter).  

  • to ask you to complete an online survey.

Please note that when carrying out online surveys, whilst we do not collect Special Categories Data (including but not limited to racial or ethnic origin or sexual orientation), we will ask participants to confirm if they belong to any typically underrepresented groups.

To deliver our services

We process some of your personal data because we have to deliver our services to you. Here, we use your personal data for the following:

  • to deal with any concerns you may have.

  • to provide you with any information and inviting you to events and entering into surveys.

  • for any other purpose for which you provide us with your personal data.

We may also process your personal data where we have your consent to do so and have been provided directly by you. Whist contact details may be shared through recommendations or on social media, such as LinkedIn, you can withdraw your consent at any time by contacting us.

We process your personal data because it is necessary for the purpose of a legitimate interest pursued by us or one of the third-party organisations that we work with. This may include, for example:

  • marketing purposes such as completing a survey and making any recommendations to you about our services.

  • to protect our business and the website, such as maintaining our IT system, reporting any technical issues.

We also process your personal data to meet our legal obligations. We may use your personal data for the following purposes:

  • to assist with investigations (including criminal investigations) carried out by the police and other authorities.

What we do with the information we have

Your personal data may be used for the purpose of dealing with your enquiries, as well as sending you relevant information about us. If you subscribe to our newsletter, we use Mailchimp as our marketing platform. You can unsubscribe at any time by clicking the link in the footer of our newsletters. Your information may be shared with external parties who are based outside the UK/EEA, for example, Google and Microsoft 365, and will involve a transfer of your personal data outside the UK/EEA. If your personal data is transferred to, stored at, or otherwise processed in a country or territory outside the UK/EEA, and that country or territory has not been recognised as providing an adequate level of data protection, we will put in place additional measures to protect your personal data. Please contact us if you want further information on the specific mechanism used by us when transferring your personal data outside the UK/EEA.

Where necessary, your information may be shared with solicitors, accountants and other professional providers, as well as the police and other law enforcement agencies to prevent and detect crime. We may also share with other third parties to help us deliver online surveys or third parties conducting surveys on our behalf.

How we store your information

Your personal data is securely stored on Microsoft 365.

We may use artificial intelligence (AI) tools, such as ChatGPT and Co-Pilot, to collect your personal information for the following purposes, such as:

  • improving our services we deliver to you.

  • identifying any suspicious activities and ensuring that our website and any systems we use are safe.

  • recommending content or services based on your preferences.

When using AI, we have proper security measures in place to protect your personal information and respect your privacy.

How long we keep your information

How long we keep your information will depend on the nature of the query. We may keep your personal data for a longer period if we receive a complaint or if there is a likelihood that a dispute will take place regarding our relationship with you.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

With regards to completing surveys, we will keep your responses for 12 months.

  • Your right of access - you can ask for copies of your personal information. 

  • Your right to rectification - you can ask to rectify information you think is inaccurate or incomplete. 

  • Your right to erasure - you can ask to erase your personal information in certain circumstances.

  • Your right to object to processing - you can object to the processing of your personal data in certain circumstances.

  • Your right to data portability - you can ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO) if you are unhappy with how we have used your data, with the contact details set out below.
